Monday "Inbox test"

As I will be taking a hiatus from teaching for the summer, I'd like to keep my teaching muscles exercised :) So beginning today, on Monday's I will post a scenario, case study or exercise for everyone's entertainment. I welcome comments, discussion on similar scenarios, or even attempts at the answer and ensuing discussion. I'll post a conclusion on Friday evenings. Most will be based upon my past experiences and those of my learners.

Procurement Specialist Scenario Assessment:

In Basket: - prioritize the following

In the role of Procurement Specialist you have a variety of projects and priorities on a daily basis. The following scenario is typical for prioritizing a day’s work:

You have the following on your project list:

  • Five (5) Request for Proposals (RFPs) have been posted for competition for various client departments,
a) RFP A - budget $500,000 services – closing in 2 weeks

b) RFP B - budget $50,000 goods – closing this week

c) RFP C - budget $100,000 services – closing next week

d) RFP D - budget $unknown services – closing in one month

e) RFP E - $unknown services – closing tomorrow

  • a new client department wishes to solicit responses for "as required project managers", however has no terms of reference nor requirements written - let's call it RFP F
  • An RFP process concluded last week (i.e. contract award and notifications have been sent, debriefings for unsuccessful vendors not yet scheduled); - call it RFP G
  • One RFP process is in evaluations, you are not participating in the evaluations but are providing advice to the evaluation committee as required; RFP H
NOW, with the above information, how do you prioritize the following emails/tasks for today:

  • Vendor enquiry regarding budget for RFP A (budget was not posted, and client department doesn't want to);
  • RFP F client needs to hire a project manager for a new project right now, but you haven't started it as they haven't discussed their business needs yet (no TOR);
  • RFP H Evaluation committee has called you regarding a problem with an evaluation criteria;
  • Vendor complaint regarding RFP G;
  • RFP D evaluation booklet is not yet completed;
  • RFP E evaluation committee not yet confirmed;
  • RFP F client has not yet confirmed they want the project to go ahead;
  • Vendor Call transferred to you on how to do business with your organization;
  • Call transferred to you from a department wanting to know how to conduct an Expression of Interest (EOI) process;
  • A staff meeting has been booked for 1.5hours in the morning.
